Position Profiles:


Police Clerk - Administrative Secretary

The incumbent is responsible for performing administrative functions, secretarial and clerical duties. This includes maintaining a filing system, preparing correspondence and reports, maintaining personnel information on in-house system, assisting with coordination of departmental functions and interacting with the public.


Police Clerk - Complaint Taker/Records Validator

The incumbent is responsible for generating police reports resulting from walk-in complaints. This position also provides assistance to the Records Validator Supervisor in the validating of police records. Responsible for maintaining the Support Procedures Manual and provides back-up to the Administrative Secretary for taking minutes of meetings.


Police Clerk - Court Support

The incumbent is responsible for court file preparation, clearance letters, preparation of search warrants, provide support to Court Section, maintenance of files on the PORS Court Assist module, carding of files, and preparation of various interdepartmental reports.


Police Clerk - CPIC Support

The incumbent is responsible for maintaining Court documents entered into the Canadian Police Information Center (CPIC) system. Also responsible for entry of city by-law Warrants of Committal on the PORS system. Creates web page daily for the Crime Bulletin which is viewed during briefings. Responsible for production of photo ID cards. Assists members with accessing mug shots and photo line-ups. Provides switchboard/receptionist coverage as required.


Police Clerk - File Support

The incumbent is responsible for maintaining the filing system for all police operational files. Also processes billing requests and provides reports to insurance companies and law firms. In addition, the incumbent is responsible for processing of security checks for clearance letters and is primary back-up to the switchboard/receptionist position.


Police Clerk - Patrol/Community Support

The incumbent is responsible for providing support as required for the Patrol/Community Division. Responsibilities include preparing files for court, compiling quarterly statistical reports on members' activities, preparing a report on the reader's notes, preparing reports on community officers' monthly activities, ticket control, inventory system support, maintains a contingency fund, and provides back-up to Court support as required.


Police Clerk - Switchboard/Receptionist

The incumbent provides Switchboard/Reception services for the Police Department,. Work involves responsibility for accurate and speedy operation of a multi-line telephone system as well as receptionist. Duties also include data entry functions at a controlled access level.


Police Clerk - Records Validator Supervisor

The incumbent is responsible for the accuracy and integrity of the data that is entered into the Police Operational Reporting System (PORS). This position is responsible for the validation of all police files entered on the system, following the guidelines laid out by various regulatory agencies including Canadian Center for Justice Statistics (CCJS) and the Criminal Code of Canada.  The incumbent is also responsible for developing training manuals relative to data entry on the PORS system and for conducting said training to members and staff. This position also provides direct supervision to the records validator/complaint taker position.


Police Clerk - Application/Fleet Support

The incumbent is responsible for the testing, training and implementing of all Versadex system enhancements and applications. The incumbent ensures any system changes have been properly documented and the appropriate users have been trained on the changes. The incumbent is also responsible for fleet maintenance and assists in purchasing/receiving and budgeting, utilizing the City's Financial System. Acts as back-up for timekeeping and payroll entry and provides some supervision to others on specific areas of activity.


Police Clerk - Central Records Support

The incumbent is responsible for clearance letters, Pardons received for follow-up action on the RMS, review and automation of various forms used by the Force, preparation of various interdepartmental reports, and timekeeping on Versonnel.


Police Clerk - Stores & Purchasing

The incumbent is responsible for ordering, storing and issuing police equipment and clothing and must be totally familiar with the tendering and purchasing procedures of the Force and the City of Fredericton.  In addition, the incumbent ensures that sufficient quantities of stores are available to adequately supply the Force on a day-to-day basis.
